TORONTO & THE GTA
Venue Sound Checklist for a DJ or Karaoke Event
For customers booking Peter Styla who need to confirm their venue’s equipment. For DJ Performance, ask your venue to review this checklist and Peter’s technical rider. For DJ + Sound & Lighting, Peter supplies the agreed equipment and coordinates the venue requirements.
Before booking a DJ for a Toronto corporate event or private party, confirm what your venue actually supplies. A room with background speakers may still need a professional sound system for dancing. This checklist helps you divide responsibilities between the organiser, venue, AV provider and performer.
DJ Performance is performance-only: Peter supplies no equipment. The customer or venue must appoint an AV company to supply, install, test and remove the full setup described for the corresponding DJ + Sound & Lighting package, including the DJ controller/playback system, headphones, mixer, microphones, sound, lighting, adapters and cabling. See the technical rider for the full setup and venue AV information for planning.
1. Describe the room and event
- Give the venue address, guest count and room dimensions or floor plan.
- Mark the dance floor, DJ position, dining area and any presentation stage.
- Confirm whether guests remain in one room or move between spaces.
- Identify indoor, outdoor or partly covered areas, and any sound limits.
The equipment should suit the room and the programme. Ask how the supplier will cover the audience without putting a speaker immediately beside seated guests. For an outdoor event, arrange a covered, weather-protected performance area and comply with venue rules.
2. Check the sound connection
Peter’s output is stereo RCA at line level, left and right. The provider must arrange a suitable professional input, interface or DI connection. Send the rider to the person responsible for sound rather than relying on a general assurance that “we have an aux cable”.
Confirm that the PA has suitable coverage and bass for dance music, not simply speech or background playlists. Include a usable booth monitor where appropriate so Peter can hear the mix at the performance position. Ask who handles cabling, levels and troubleshooting.
3. Assign microphone and announcement duties
DJ Performance includes entertainment, music preparation and planning only; no equipment is supplied by Peter. The customer or venue appoints an AV company to provide the full corresponding setup. DJ + Sound & Lighting includes the specified equipment, setup and teardown. Specify who introduces speakers, presents awards and makes venue announcements. A DJ booking does not automatically include a complete presentation AV crew or an unlimited MC role; put those responsibilities in the agreed brief.
For speeches, identify the microphone handover point and the person controlling the level. Video playback, presentation laptops and additional microphones need their own input and operating plan.
4. Add the karaoke requirements when relevant
Both karaoke options include hosted singer rotation, live DJ sets and planning. Karaoke DJ Performance includes no equipment. The customer or venue must appoint an AV company to supply, install, test and remove the full setup specified for the complete karaoke package, including a Yamaha MG12XU mixer or suitable equivalent with sufficient microphone inputs, individual vocal controls and adjustable vocal effects. The complete DJ + Sound & Lighting package includes two professional 15-inch powered speakers on stands, a dual wireless microphone system, six LED uplights, dancefloor lighting effects, a haze machine (venue permitting), one 32-inch singer-facing TV, one 52-inch audience-facing TV, three wired vocal microphones and required cabling, with setup and teardown. Vocal mixing and mirrored lyrics are included. Confirm sightlines so singers and guests can read the lyrics without blocking the DJ position.
Use the hosted karaoke service page and hosted karaoke guide to decide whether that format suits your group. Do not assume a DJ Performance setup already includes karaoke screens or the additional wired microphones.
5. Plan power, furniture and lighting
- Customer supplies a sturdy table (approximately 2 m × 1 m) and tablecloth. Provide safe, accessible power at the DJ position.
- Keep cable routes out of guest circulation and arrange appropriate cable protection.
- Confirm party or dance-floor lighting with the venue or AV provider.
- Coordinate lighting with photography, presentations and venue restrictions.
DJ + Sound & Lighting includes six LED uplights, dancefloor lighting effects and a haze machine (venue permitting). For DJ Performance, the appointed AV company supplies the full corresponding lighting setup. Equipment packages are planned configurations. Availability, venue suitability and the exact supplied equipment are confirmed in writing before your booking is accepted.
6. Agree access and sound-check timing
Arrange the system so it is powered and connected before a practical 30-minute sound check ahead of guest arrival. Confirm loading access, lifts, parking, the venue contact and who is present to resolve a connection issue. Include the sound check in the event schedule rather than discovering the equipment while guests are arriving.
The performance window and access window are different. Early setup or standby beyond 90 minutes before the start has a published charge of $100 per hour plus HST. Agree unusually early access in the written estimate.
7. Choose the right equipment arrangement
DJ Performance includes entertainment, music preparation and planning only; no equipment is supplied by Peter. The customer or venue appoints an AV company to provide the full corresponding setup. DJ + Sound & Lighting includes the specified equipment, setup and teardown. The extended up-to-nine-hour service covers wedding ceremony, canapés and reception. Its equipment specification adds a battery-powered canapés speaker and an officiant lavalier microphone for the ceremony. Peter supplies these with DJ + Sound & Lighting; for DJ Performance, the customer or venue-appointed AV company supplies them and all other required equipment. Timing and coverage are agreed in writing. Ceremony coverage with four- and six-hour reception packages is quoted separately. See the technical rider for the full equipment specification for your chosen service.
