Corporate Holiday Party DJ Planning Checklist
For workplace organisers planning to book Peter Styla. Use this checklist to brief Peter and coordinate your venue. Choose DJ Performance with all equipment supplied by your appointed AV company, or DJ + Sound & Lighting.
A corporate holiday party works more smoothly when music, speeches, dinner and AV share one plan. Use this checklist to brief your Toronto venue, DJ and internal team before committing the programme. It applies to an office Christmas party, year-end celebration or a broader holiday event.
For the service and date enquiry, visit corporate holiday party DJ Toronto. Four-hour corporate DJ Performance is $995 with no equipment supplied by Peter; DJ + Sound & Lighting is $1,595. The AV company supplies all equipment for DJ Performance; Peter supplies the listed equipment with DJ + Sound & Lighting. All rates are CAD before applicable HST.
Start with the purpose and audience
Decide whether the evening is primarily a relaxed reception, dinner with recognition, or a dance-focused party. Ask the organising team about age ranges, music preferences and any workplace restrictions. A short written brief is more useful than asking for “something for everyone” without context.
- Record the event date, full venue address and expected guest count.
- Choose the tone: background conversation, a lively social evening or dancing after dinner.
- Collect a manageable set of must-play and do-not-play preferences.
- Confirm any clean-edit expectations with the performer.
Build one running order
List guest arrival, food service, speeches, awards, karaoke if requested, dancing and the scheduled finish. Give each transition an owner. Decide who introduces speakers and who can approve a timing change on the night. A DJ performance does not automatically cover presentation production or every MC duty.
Plan when the room should shift from conversation to dancing. If speeches run late, the organiser should coordinate the new sequence with the venue and performer rather than leaving each supplier to make a different assumption.
Confirm the venue AV scope
DJ Performance is performance-only: Peter supplies no equipment. The customer or venue must appoint an AV company to supply, install, test and remove the full setup described for the corresponding DJ + Sound & Lighting package, including the DJ controller/playback system, headphones, mixer, microphones, sound, lighting, adapters and cabling. Share the technical rider with your appointed AV company. With DJ + Sound & Lighting, Peter supplies the agreed equipment, setup and teardown.
- Check PA coverage and bass suitable for dance music.
- Confirm a compatible DJ controller and playback system, mixer inputs and all required interfaces and cabling.
- Confirm the audio connections and microphone handover plan. The AV company supplies the dual wireless microphone system for DJ Performance; Peter supplies it with DJ + Sound & Lighting.
- Confirm the customer-supplied table (approximately 2 m × 1 m) and tablecloth, power, cable protection and professional DJ monitoring.
- Identify who operates presentation audio and any extra microphones or screens.
The venue sound checklist covers these points in detail. Your event quote should identify the sound and lighting included; decorative uplighting alone does not replace suitable sound.
Keep a complete budget
Include your entertainment package price, applicable taxes, venue charges and agreed extras. The current pricing guide lists the package options, any additional time, early setup and travel. The event DJ cost guide explains how those lines fit together.
After written approval, a 50% retainer secures the date. The balance and agreed add-ons are due 14 days before the event, subject to the Booking Terms for short-notice bookings. Approved overtime on the night is invoiced within three business days and is due on receipt. Assign a person who is authorised to approve it.
Before the event
- Share the final running order and contact list with the venue, performer and AV team.
- Confirm venue access, loading, parking and setup arrangements.
- Arrange equipment powered and connected for a practical 30-minute sound check before guest arrival.
- Check pronunciation and order for any agreed announcements.
- Confirm the venue’s sound rules, closing time and outdoor weather arrangements where relevant.
On the night
Keep one organiser available for decisions. Brief speakers on microphone handovers and tell the DJ about meaningful schedule changes. If more performance time is requested, approve the overtime clearly rather than assuming it is included. The venue and suppliers should share the same scheduled finish.
To start your booking brief, send your date, venue, guest count, performance hours, music preferences and AV contact. Review Booking Terms and the corporate event DJ service before requesting your estimate.
Bring your plan together
Check your date or send an enquiry with your venue, guest count and preferred package. Peter confirms availability and equipment needs, sends your written quote, then guides your music and event planning through the existing booking system.
Bookings, quotations, invoices and payments are administered by Styla Entertainment.
