Booking Terms

These terms apply to corporate, private, wedding and karaoke event bookings with Peter Styla. Peter Styla is the professional DJ brand of Styla Entertainment, the registered Ontario business that contracts with you and administers your booking.

Retainer & Payment

Private, wedding and karaoke events. Accepting these booking terms and paying a 50% retainer secures your date. Until the retainer is received, the date remains open to other enquiries. You will receive a written booking confirmation setting out everything agreed. Your written approval and retainer complete the booking.

Corporate events. Corporate bookings are quoted by written quotation. Your written approval of that quotation – by email or by issuing a purchase order against it – together with the 50% retainer, secures the date. Your written approval and retainer complete the booking. Where your organisation issues purchase orders, the number appears on the retainer invoice and on every invoice that follows. The balance is due 14 days before the event.

The retainer forms part of your total fee.

Balance: due 14 days before the event date. Bookings made within 14 days of the event are payable in full when you accept the written booking.

Overtime approved by you at the event is billed after the event: invoiced within 3 business days and due on receipt. Overtime begins only after your approval on the night.

Accepted payment methods: Interac e-Transfer (preferred), credit card, or cheque for corporate accounts. Payments are made to Styla Entertainment.

HST at 13% is added to all fees and shown separately on your invoice.

Cancellation & Changes

Cancellation by you

If you cancel your booking, the following cancellation charges apply:

  • More than 120 days before the event. You may transfer your retainer once to a new event date taking place within 12 months of the original date, subject to my availability. If you do not reschedule, or we cannot agree on a mutually workable date after making reasonable good-faith efforts, the retainer will be refunded less any documented, non-refundable, event-specific costs already incurred.
  • 61 to 120 days before the event. The cancellation charge is equal to the retainer. The retainer is the full cancellation amount for this period.
  • 60 days or fewer before the event. The cancellation charge is equal to the retainer plus 50% of the remaining booking balance. As the retainer represents 50% of the booking price, the total cancellation charge equals 75% of the booking price.

Your retainer is applied toward the applicable cancellation charge. If you have already paid more than that charge, the excess is refunded within 10 business days. All cancellation and refund rights available under applicable consumer-protection law remain in full effect.

If I rebook your date

Where your cancellation leaves the event date available, I will make reasonable efforts to secure another booking for it.

If I complete a replacement booking for the same date, the DJ service fee earned from that booking – excluding HST, travel, add-ons, expense reimbursements and third-party charges – is credited against your cancellation charge, up to the amount you forfeited or paid because of the cancellation.

Any resulting refund is issued within 10 business days after the replacement event has taken place and the replacement booking has been paid in full. This credit exists to prevent double recovery, so that the cancellation charge reflects only booking revenue I was unable to replace.

Changing your event date

You may transfer your booking once, without a change fee, if all of the following apply:

  • you request the change more than 120 days before the original event date;
  • the new event takes place within 12 months of the original date; and
  • I am available on the requested new date.

The original booking remains in effect unless and until a new date is confirmed in writing.

A date-change request made 120 days or fewer before the original event date, or any additional date-change request, is treated as a cancellation of the original booking under the cancellation terms above. A new date then constitutes a new booking and is subject to availability.

The original price continues to apply to an approved date transfer unless the location, duration, services or other material requirements of the event change. Any resulting price adjustment is confirmed in writing before the new date is accepted.

Performance continuity and replacement arrangements

If I am personally unable to perform because of illness, an emergency or another circumstance that does not prevent the event itself from proceeding, I will tell you as soon as reasonably possible and make reasonable efforts to arrange a replacement DJ of comparable experience and professional standard.

Any replacement must be approved by you in writing. If you approve one, Styla Entertainment remains responsible for the booking, and your payments and agreed booking terms continue to apply.

You are not required to accept a proposed replacement. If you do not accept, or if a suitable replacement cannot be arranged, everything you have paid, including the retainer, is refunded within 10 business days.

This section does not apply where my inability to perform results from your breach of these booking terms, or from circumstances that prevent the event itself from proceeding, which are covered below.

Circumstances beyond reasonable control

Neither party is responsible for failing to perform an obligation where performance is prevented, made unlawful or rendered reasonably unsafe by circumstances outside that party’s reasonable control.

These may include severe weather, government or public-health restrictions, an unexpected venue closure, a prolonged loss of essential services, a natural disaster or another comparable event. Ordinary bad weather, increased costs, a change of preference, or circumstances caused by a party’s own act, omission, breach or failure to make required arrangements do not qualify.

Where the event cannot proceed for a qualifying reason, your retainer may be transferred to a mutually agreed date taking place within 12 months of the original date, subject to my availability.

If we cannot agree on a mutually workable date after making reasonable good-faith efforts, the retainer is refunded less any documented, non-refundable costs directly attributable to your event and incurred before notice of the circumstances was received. These deductions do not include ordinary administrative or general business overhead.

Any amount you paid above the retainer is also refunded, and no further balance is invoiced. Refunds due under this section are issued within 10 business days after we confirm in writing that the event will not be rescheduled.

Other Terms

Equipment and venue

The client must ensure that the venue provides a safe, weather-protected performance area, suitable power and access for the agreed setup. Your booking confirmation identifies the customer-supplied table (approximately 2 m × 1 m), tablecloth and venue facilities. Sound must suit the room, guest count and programme. The current technical rider and written quote identify equipment responsibilities. These current package descriptions apply to new quotations; existing accepted booking scopes and payment obligations remain unchanged.

DJ Performance is performance-only: Peter supplies no equipment. The customer or venue must appoint an AV company to supply, install, test and remove the full setup described for the corresponding DJ + Sound & Lighting package, including the DJ controller/playback system, headphones, mixer, microphones, sound, lighting, adapters and cabling. DJ + Sound & Lighting and complete karaoke packages include the specified equipment, setup and teardown. Availability, substitutions and any extra production are agreed in writing before booking.

DJ Performance includes entertainment, music preparation and planning only; no equipment is supplied by Peter. The customer or venue appoints an AV company to provide the full corresponding setup. DJ + Sound & Lighting includes the specified equipment, setup and teardown. Karaoke DJ Performance includes no equipment. The customer or venue must appoint an AV company to supply, install, test and remove the full setup specified for the complete karaoke package, including a Yamaha MG12XU mixer or suitable equivalent with sufficient microphone inputs, individual vocal controls and adjustable vocal effects.

The standard DJ + Sound & Lighting configuration includes two professional 15-inch powered speakers on stands, a dual wireless microphone system, six LED uplights, dancefloor lighting effects, a haze machine (venue permitting) and required cabling, with setup and teardown. Karaoke adds one 32-inch singer-facing TV, one 52-inch audience-facing TV with mirrored lyrics, three wired vocal microphones and dedicated vocal mixing. The customer supplies a sturdy table (approximately 2 m × 1 m) and tablecloth.

Private and corporate standard packages include four hours of entertainment. Wedding reception packages offer four or six hours; the extended up-to-nine-hour service covers ceremony, canapés and reception. The extended up-to-nine-hour service covers wedding ceremony, canapés and reception. Its equipment specification adds a battery-powered canapés speaker and an officiant lavalier microphone for the ceremony. Peter supplies these with DJ + Sound & Lighting; for DJ Performance, the customer or venue-appointed AV company supplies them and all other required equipment. Timing and coverage are agreed in writing. Ceremony coverage with four- and six-hour reception packages is quoted separately. Additional locations, simultaneous audio zones and production extensions are separately specified and quoted. Teardown and collection are agreed with the venue.

Outdoor events require a secure, level, dry and safely covered performance area. The IP65 specification applies only to selected lighting fixtures once confirmed; the entire system is not weatherproof. The workstation, powered speakers, mixer, microphones, displays and electrical connections require appropriate shelter from rain and moisture.

Guest conduct and equipment

The client is responsible for deliberate or reckless damage to equipment I bring, caused by guests, up to the value of the total booking fee. Ordinary wear and minor accidental damage are mine to absorb.

Curfew and volume

Performance times are subject to venue rules and applicable municipal noise restrictions. I will comply with venue and municipal direction on volume and end times.

Photography

I may photograph or record portions of the event for promotional use. Share your preference in writing and I will honour it.

Insurance

Styla Entertainment carries commercial general liability insurance. If your venue requires a certificate of insurance, or asks to be named on it, tell me when you book and I will arrange one at no additional cost. Please allow a few business days, as certificates are issued by my insurer rather than by me.

Limitation of liability

Liability is limited to the total fees paid under the agreement.

Your statutory rights

Every right and remedy protected by the Ontario Consumer Protection Act or other applicable law remains fully in force. Where any term here conflicts with that legislation, the legislation prevails.

Governing law

This agreement is governed by the laws of the Province of Ontario.
